Information We Collect

We collect information in three main ways: (a) information you provide, (b) information collected automatically, and (c) information from third parties (e.g., donation processors).

A) Information You Provide to Us

Depending on how you use the Site, you may provide:

  • Contact details (name, email address, phone number, mailing address)

  • Donation information (donation amount, donor name, billing address, and related transaction details)

  • Application submissions (artist statements, biographies, eligibility information, images/files you upload, and other materials submitted for grants/fee waivers/mentorship)

  • Communications (messages you send us via forms or email)

Important: Please do not submit sensitive personal information through public forms (for example: government ID numbers, financial account details, medical information), unless specifically requested through a secure channel.

B) Information Collected Automatically

When you visit the Site, we (and our service providers) may automatically collect:

  • Device information (browser type, operating system, device type)

  • Usage data (pages visited, time spent, clicks, referring/exit pages)

  • Approximate location (city/state derived from IP address)

  • Log data (IP address, timestamps, error logs)

C) Information from Third Parties

If you donate or use third-party services integrated into the Site, we may receive limited information from those providers (for example: confirmation that a donation was processed, transaction IDs, and donation amount). We do not receive your full payment card number if a third-party processor handles the payment.

How We Use Your Information

We use information we collect to:

  • Operate, maintain, and improve the Site

  • Process donations and send donation acknowledgments/receipts

  • Review and administer applications (grants, fee waivers, mentorship, programs)

  • Communicate with you (including responding to requests and providing updates)

  • Protect the security and integrity of the Site (fraud prevention, monitoring, audits)

  • Comply with legal obligations (record-keeping, tax-related acknowledgments, enforcement of policies)

How We Share Your Information

We do not sell your personal information.

We may share information in the following situations:

A) Service Providers

We may share information with trusted third-party vendors who help us operate the Site and administer our services, such as:

  • website hosting and analytics providers

  • email communication services

  • donation/payment processing providers

  • application form providers (if applicable)

These providers are authorized to use personal information only as necessary to provide services to us.

B) Legal and Compliance

We may disclose information if required to do so by law, regulation, subpoena, court order, or governmental request, or if we believe disclosure is necessary to:

  • comply with legal obligations

  • protect our rights, safety, or property

  • prevent fraud or security threats

C) Business Transfers

In the unlikely event of a reorganization, merger, dissolution, or transfer of assets, information may be transferred as part of that process, subject to applicable law.

Donations and Payment Processing

Donations are typically processed through third-party payment providers. Your payment information is handled by the payment provider under their own terms and privacy policies. We encourage you to review the provider’s policies when donating.

We keep donation records for financial reporting, compliance, and donor acknowledgment purposes.

Applications and Submitted Materials

If you submit an application (including images, statements, or files), we use that information to review eligibility and administer programs.

If you are selected for a grant or program, we may request permission to feature your name, story, or artwork for Foundation-related purposes (impact reporting, announcements, and donor communications). Where appropriate, we may anonymize details to protect privacy.

Cookies, Analytics, and Similar Technologies

We (and our service providers) may use cookies and similar technologies to:

  • remember preferences

  • understand Site traffic and usage

  • improve Site performance and user experience

You can control cookies through your browser settings. If you disable cookies, some Site features may not function properly.

Email Communications

If you provide your email address, we may send you:

  • confirmations and receipts (for donations)

  • responses to inquiries

  • program communications (applications and updates)

  • occasional Foundation news or impact updates (where applicable)

You may opt out of non-essential emails at any time by using the unsubscribe link (if present) or by emailing legal@teravarna.org. Transactional emails (like receipts) may still be sent.

Data Retention

We retain personal information only as long as reasonably necessary to:

  • fulfill the purposes described in this Policy

  • comply with legal, accounting, and reporting obligations

  • resolve disputes and enforce agreements

Retention periods vary depending on the type of data and applicable legal requirements.
